As the Product Design Lead, I played a crucial role in transforming this initially internal tool into an expansive system accessible to both in-house and external teams.

My collaboration with external UX and UI teams, alongside the product manager, was fundamental in steering the project from its conception towards an ongoing development process, enhancing both operational efficiency and user accessibility.

Project KPIs and Goals

Enhance Operational Efficiency

Goal: To significantly improve the efficiency of YOOM studio operations by streamlining management processes.

Target: Achieve a 60% reduction in time spent on administrative tasks by studio owners and operators.

System Integration and Compatibility

Goal: Ensure seamless integration of the Studio Manager system specifically with YOOM's studio hardware and software, enhancing user experience for studio owners and operators.

Target: For stage one- attain 70% compatibility with YOOM studio systems, with minimal integration issues reported by users.

User Satisfaction and Adoption

Goal: To achieve high user satisfaction and adoption rates among YOOM studio owners and operators, indicating the system's effectiveness and ease of use.

Target: Reach a user satisfaction score of at least 85% and an adoption rate of 75% within the first 6 months of launch.

The challenge

Originally, the Production Manager was an internal resource exclusive to our in-house team, managing the production and distribution of 3D files. The challenge involved evolving this system into an inclusive platform, empowering external teams to manage their production cycles autonomously, thus optimizing our internal team's workload and elevating overall operational efficiency.

Transformative Approach

Our approach involved intensive external research, focusing on the production pipeline, seamless integration with internal processes, deliverable optimization, and usability. This research was pivotal in identifying key areas for the system's enhancement to ensure a smooth transition to an external-facing tool.

Research

Same as we did with the Studio Manager system, the focus was on Key areas of our research that included:

External Pipeline Research Investigating standard production pipelines to understand the operational dynamics of external teams. Overall inspection of the current system pipeline and the resources needed to run the production from A to Z. For instance, you can see in the below image the overall process and the amount of personnel involved.

Internal Integration Gaining insights into integrating these external workflows with our internal systems, ensuring asset and information flow continuity.

Deliverable Focus Understanding the specific deliverables required by external teams, tailoring our system to efficiently meet these needs.

Prototyping in Phases

The prototyping was meticulously carried out in phases. Each segment of the system underwent comprehensive UX design completion before proceeding to the next, allowing for a focused and thorough development approach.

Current Status

We are currently in the phase of finalizing the UX elements of the Production Manager. This stage is crucial as it lays the foundation for the subsequent UI development. The UX finalization process is guided by continuous feedback from both internal and external users, ensuring that the system's design is not only functionally robust but also user-centric and adaptable to various production requirements.

Next Steps and Reflection (To Be Completed)

The ongoing project's next significant phase will involve transitioning into the UI design, following the completion of the UX finalization. The final reflection, to be composed post-project, will delve into the impact of the Production Manager, the lessons learned throughout the process, and its implications for the future of the 3D scanning and production industry.
